The Renfrew County Community Poverty Action Network is seeking quotes from qualified service providers interested in supporting us in refreshing the CPAN imagery, fonts, colours, and visual branding overall.
CPAN is offering this call for quotation using inclusive practices. All submissions will have the Graphic Designer and company name removed before the screening process begins. All decisions and scoring will be based on the content provided, helping to monitor for any bias presented in the process.
Interested parties are required to submit three documents in their submission:
- A letter explaining the importance of imagery for charitable and equity-based work to communicate the meaningful mission we embark on. Your personal connection to the project and demonstration of passion to be a part of our impact are highly valuable to us.
- A set of examples of your work with other clients - whether it be paid or unpaid work. Please do not include any company or organization names of your clients in this part of the submission, only images and short descriptions are permitted. Please limit this to 6 samples in total.
- A quotation for services, valid for 30 days from the deadline date of May 3rd, 2024. The quote must include pricing for:
- Logo refresh and creative process working with staff and the BOD in review cycles of draft designs. Please provide the limit of review cycles and changes.
- Logo files in all required formats such as .png, vector files, and so on
- Horizontal and vertical versions of the logo.
- Abbreviated and full-length versions of the logo (ex: CPAN versus The Renfrew County Community Poverty Action Network).
- Black and white and full-colour versions of the logo.
- Colour codes for all colours used in the brand kit.
- Font selections for headers, body, and accent.
- Brand guidelines to help CPAN staff and Friends of CPAN use our digital assets appropriately when developing collaborative content.
- An exit fee should there be creative differences and CPAN wishes to abandon the project and pay you for the time to get to that point (i.e. only the exit fee is paid and not the full contract amount as it would not be completed, and we could not transfer files for our use).
- Creative brief and progress meeting(s) as required.
- Confirmation you can complete the work between May 15, 2024 and June 15, 2024 with no exception on final delivery on June 15, 2024.
We will respond to all submissions the week after the deadline, between May 6 and 11, 2024. At that time, to help narrow our focus, we will ask for the client references of the sample imagery you provided in the submission. We will begin together on May 15 at the latest.
CPAN has a 50/50 procurement policy to ensure each party has a stake in the process equally. We remit a deposit of 50% at the onset of the project (this amount cannot be more than the exit fee listed on the quote) and 50% upon completion on the day the digital files are transferred to us in full.
